How to Write B2B Case Studies That Close Deals

Case studies are the content that closes deals. Prospects deep in evaluation mode are not reading blog posts — they're reading case studies about companies like theirs, with problems like theirs, achieving outcomes they want. A well-written case study can move a prospect from consideration to demo request by itself.

The Case Study Structure That Converts

The Headline

Lead with the outcome, not the process. "How [Company] Reduced Customer Acquisition Cost by 43% in 90 Days" beats "Case Study: [Company]'s Journey with GTM Engine." The outcome in the headline filters readers — the ones who stay are the ones who want that specific outcome.

The Context (100-150 words)

Company size, industry, business model, the specific challenge they faced before working with you. Be specific: "a 45-person B2B SaaS company selling into mid-market HR teams, with $3M ARR and an inbound-only motion that had plateaued."

The Problem (150-200 words)

What was the pain? What had they tried? Why wasn't it working? This section should make the reader nod — "yes, that's exactly our situation."

The Approach (200-300 words)

What did you do, specifically? Not generic capabilities — the actual methodology applied. This demonstrates expertise and differentiates you from generic competitors.

The Results (100-150 words)

Specific, quantified outcomes with timeframes. Before and after. "From 2% to 18% reply rate in 60 days." "From 12 organic leads/month to 67 in 6 months." Numbers sell.

The Quote

A client quote that validates the result and the relationship. The best quotes reference the specific outcome and the working relationship: "GTM Engine didn't just deliver results — they changed how we think about outbound."

A case study with real numbers, a real company name, and a real quote is 10x more persuasive than a case study with "a mid-market SaaS company" and vague "significant improvements." Get permission. Use the name. Show the numbers. Close more deals.
